Program Coordinator (Outdoor Education and Corporate Division)

Role Overview:

The Program Coordinator is the organizational backbone of our outdoor education and leadership programs, working closely with Program Managers and playing a key role in the logistical coordination and operational execution that underpins the seamless delivery of our transformative experiences. They collaborate interdepartmentally to ensure a great customer experience from beginning to end. The Program Coordinator is the main point of contact for partners and service providers and a critical link in liaising with all internal departments helping to book logistics and ensure communication across all parties. They are comfortable working with details while collecting, collating and organizing all program information and documentation into an organized fashion. The Program Coordinator works well with complex spreadsheets and is comfortable with computers and various software products. They are highly organized ensuring all necessary parties are up to date on key information relating to programs and experiences.  They have excellent written and spoken communication skills in both Thai and English and thrive in a dynamic, challenging environment. Key Responsibilities:

Logistical Planning and Coordination:
  • Coordinate all logistical aspects of programs, including transportation, accommodations, meals, and equipment, ensuring each component aligns with the program’s standards and participant needs.
  • Liaise with vendors, partners, and local communities to secure services, negotiate contracts, and confirm bookings, maintaining strong professional relationships and ensuring favorable terms.
Program Support and Execution:
  • Assist Program Managers in the detailed planning and execution phases of programs, ensuring operational plans are adhered to and program objectives are met.
  • Attend and support program events, acting as a point of contact for participants and addressing any logistical challenges that arise.
Financial Management and Reporting:
  • Monitor and track program expenses against allocated budgets, ensuring cost-effectiveness and financial accountability.
  • Collaborate with the Finance team to manage invoicing, payments, and expense reporting, ensuring accurate financial documentation.
Communication and Documentation:
  • Maintain comprehensive records of program details, including schedules, participant information, and vendor contracts.
  • Prepare and distribute program materials, such as handbooks, itineraries, and safety guidelines, ensuring participants and staff have access to necessary information.
Quality Assurance and Improvement:
  • Collect feedback from program participants and staff, contributing to the continuous improvement of program logistics and operations.
  • Participate in debrief sessions with the program team to review program execution and identify areas for enhancement.
Safety and Compliance:
  • Ensure all program logistics comply with relevant safety standards, legal requirements, and company policies.
  • Coordinate with the Technical Manager and Program Manager to implement safety protocols and emergency plans for programs.
Team Collaboration and Support:
  • Work closely with the Staffing Manager to coordinate staff assignments and logistics for program delivery.
  • Support program staff by providing clear, timely communication and resolving logistical or operational inquiries.

A successful candidate will demonstrate:
  • Proven experience in logistics, event planning, or program coordination, preferably within an outdoor, education, or corporate training context.
  • Full working proficiency in spoken and written Thai and functional working proficiency in English.
  • Strong computer skills in using programs such as Google Workspace, MS Office, project management and financial tracking tools as well as demonstrated experience in ability to learn new software and computer skills.
  • Strong organizational, planning, and multitasking abilities.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams.
  • Detail-oriented with a proactive approach to problem-solving.
  • Genuine passion for outdoor adventure and creating meaningful experiences.
